Monitoring Our MYSP

In September 2024, the ÄÛÑ¿ÊÓÆµ (HCDSB) launched the 2024-2028 Multi-Year Strategic Plan that will guide the work of our school district over the next four years.

Each year, the Director of Education reports back to the Board of Trustees on the specific steps undertaken across our school system to work towards the MYSP goals in the previous school year.

To support this work, a monitoring strategy was developed to track progress in each of the priority areas – Achieving, Believing, Belonging, Becoming – and to identify data sources that inform our analysis.


Monitoring Progress During Year 1: 2024-2025

A variety of monitoring activities were used to inform the progress during the first year of implementation, including:

  1. Collection and Review of Department Action Plans
  2. Midpoint Strategic Review Meetings with the Director of Education
  3. Online MYSP Monitoring Survey
  4. Staff Reflection on MYSP Implementation in Schools

Collection and Review of Department Action Plans

Process

  • Reviewed all action plans to understand how each department’s work supports the MYSP priorities and outcomes.
  • Each plan identified key initiatives (what are we doing) and measurable outputs (evidence that actions occurred).

Why We Did This

  • To establish a clear baseline for measuring progress across all MYSP priorities.
  • To ensure system-wide alignment between department strategies and the MYSP.
  • To strengthen data-informed decision-making and accountability.

Midpoint Strategic Review Meeting with Director

Process

  • Between January and March 2025, met individually with 12 department leads.
  • Looked at how each department’s actions connect to the goals of the MYSP.
  • Discussed the links between what departments are doing and the outcomes we aim to achieve.

Why We Did This

  • To ensure each department remained aligned with the MYSP priorities.
  • To identify areas requiring additional support or adjustment.
  • To reinforce a culture of reflection, shared ownership, and continuous improvement.

Online MYSP Monitoring Survey

Process

  • Conducted an online survey from June 5-23, 2025, open to staff, parents/guardians, and students across HCDSB.
  • A total of 760 HCDSB stakeholders responded to the survey.
  • Survey results are summarized in Appendix A of the Board report.

Why We Did This

  • To understand community perceptions of our progress toward MYSP goals.
  • To identify areas of strength and where further focus is needed.
  • To ensure transparency and accountability in how we report progress.

Staff Reflection on MYSP Implementation in Schools

Process

  • During the final School Superintendent visits, administrators were asked to reflect on the MYSP implementation.
  • We collected reflections from 50 school administrators representing unique schools.

Why We Did This

  • To capture school-based perspectives on progress across all MYSP priorities.
  • To complement survey data with on-the-ground insights from school leaders.
  • To celebrate and document widespread progress evident across HCDSB.

MYSP Monitoring Dashboard

More than 60 key performance indicators were used to monitor the progress in Year 1 (2024-2025) of our Multi-Year Strategic Plan. Drawn from a range of data sources, these indicators include both quantitative and qualitative measures that help us understand how we are advancing our goals. The results are presented in the MYSP Monitoring Dashboard, which organizes the indicators by each strategic priority area – Achieving, Believing, Belonging, Becoming – and their corresponding objectives.


Looking Ahead

The progress made in Year 1 sets a strong foundation for the work ahead. We will use these insights to shape the 2025–2026 system priorities, ensuring that our efforts continue to reflect the needs of our students and staff.

As we move into Year 2 of our Multi-Year Strategic Plan, we will continue to build on our successes across all four priorities – Achieving, Believing, Belonging, Becoming – and remain dedicated to meeting the needs of each of our students so that they may flourish in mind, body, and spirit.
